Privacy Policy

We keep this page plain-English on purpose: we collect the information needed to run the service, protect it carefully, and do not sell client or caller data.

1. Scope

This Privacy Policy explains how VortexPrime collects, uses, protects, and shares information when you visit our website, call our demo line, book a meeting, contact us, or use our AI receptionist services.

Our service is built for businesses. If your business uses VortexPrime to answer calls, book appointments, or summarize conversations, the business customer controls the caller and appointment information processed through that service.

2. Information we collect

Contact and business information: name, email address, phone number, company name, industry, website, and details you choose to provide when you contact us or book a demo.

Call and service information: demo call recordings or transcripts, caller name, caller phone number, call summaries, appointment requests, intake details, routing preferences, and configuration data needed to operate the AI receptionist.

Website and device information: pages visited, referral source, approximate location, browser, device type, IP address, and usage events collected through hosting, analytics, and security tools.

Billing and account information: plan selection, invoices, payment status, subscription records, and support history. Payment card details are handled by our payment processor when applicable; we do not intentionally store full card numbers on our own systems.

3. How we use information

We use information to respond to inquiries, schedule demos, provide and improve the AI receptionist service, configure call flows, book appointments, send call summaries, support customers, process billing, prevent abuse, protect security, and meet legal obligations.

We may use de-identified or aggregated service data to understand performance and improve our product. We do not use client caller data to train general-purpose AI models unless the client separately authorizes that use in writing.

4. Call recordings, transcripts, and consent

Calls to our demo line may be recorded or transcribed so we can show the service, improve quality, and follow up on your request.

For client phone lines, VortexPrime processes calls as directed by the client. Clients are responsible for giving legally required notices and obtaining legally required consent for call recording, transcription, automated messages, SMS, email, and appointment communications in the places where they operate.

5. How we share information

We do not sell personal information. We do not share client caller data with third parties for their own marketing.

We share information with trusted vendors that help us run the business and provide the service, such as hosting, analytics, communications, telephony, AI processing, scheduling, email, payment, CRM, and support providers. These vendors are authorized to use information only as needed to provide services to us or comply with law.

We may also share information if required by law, to protect rights and safety, to enforce our agreements, or in connection with a merger, acquisition, financing, or sale of business assets.

6. Cookies and analytics

We use cookies and similar technologies for essential site functions, performance measurement, fraud prevention, and analytics. You can control cookies through your browser settings, although some site features may not work correctly without them.

We currently use services such as Vercel, Calendly, Resend, and analytics or tag-management tools when configured. Each provider processes data under its own terms and privacy commitments.

7. Security and retention

We use administrative, technical, and organizational safeguards designed to protect information, including HTTPS, access controls, vendor due diligence, and limited internal access based on business need. No internet service can be guaranteed completely secure, but we design the service with security and privacy as core operating requirements.

We keep information for as long as needed to provide the service, support customers, comply with law, resolve disputes, enforce agreements, and maintain reasonable business records. Clients may request export or deletion of service data as described in their agreement, subject to legal and operational limits.

8. Your choices and privacy rights

You may request access, correction, deletion, or a copy of personal information by contacting us. We may need to verify your request before acting on it.

Depending on where you live, you may have additional rights to know what personal information we collect, request deletion or correction, opt out of certain uses, limit use of sensitive personal information, or appeal a decision. We do not discriminate against people for exercising privacy rights.

You can unsubscribe from marketing email by using the unsubscribe link in the message or contacting us. Transactional messages related to a demo, account, billing, or service may still be sent when needed.

9. Children

VortexPrime is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact us and we will take appropriate action.

10. Changes to this policy

We may update this Privacy Policy as our service, vendors, or legal requirements change. The updated version will be posted on this page with a new effective date. Material changes will be handled with reasonable notice when required.
